Pro School Online LLP ("we", "us", "our", the "School") collects, uses, stores, shares and protects the personal data of individuals ("you", the "User") who use our website and services, including the online school "Pro Math Online" available at

We are the
data controller for your personal data and process it in accordance with the
UK General Data Protection Regulation (UK GDPR) and the

By using the website and Services, you acknowledge that your personal data will be processed as described in this Policy. Where we rely on your consent (for example, for lesson recordings and their analysis by artificial-intelligence tools, or for marketing), we ask for that consent separately, and you may withdraw it at any time.
2. The personal data we collect
Depending on how you use the Services, we may collect and process:
- first name, surname and (where applicable) patronymic;
- gender, date of birth, marital status, home town and address;
- contact details (mobile phone number, email address);
- photographs;
- payment information (where payments are made);
- information about attended lessons, learning progress and completed assignments;
- audio and video recordings of lessons, including the voice and image of the User and other participants, together with related information (participant name, date and topic of the lesson);
- technical data collected automatically, including IP address, cookie information, information about your browser or device, time of access and the page requested;
- other information whose collection is described in the terms governing a specific Service.
We do
not collect special category personal data (such as data revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, or data concerning health).
We do not verify the accuracy of the information you provide and rely on you to give us accurate and up-to-date information, and to update it when necessary (for example, when your phone number changes).
3. How and why we use your data (purposes and lawful basis)We process personal data only for the purposes set out below. The lawful basis under UK GDPR is shown for each purpose.

Where we rely on
legitimate interests, we have assessed that our interests are not overridden by your rights and freedoms, and you may object to such processing at any time (see Section 9).
4. Lesson recordings and analysis by artificial-intelligence tools
To monitor and improve the quality of our educational services, we use third-party artificial-intelligence systems, including
Claude (provided by Anthropic PBC) and
ChatGPT (provided by OpenAI).
We may transfer audio and video recordings of lessons — which may contain the voice and image of lesson participants — to these providers for automated analysis. This transfer and processing may take place on servers located
outside the United Kingdom (see Section 6 on international transfers). We transfer only the data necessary to monitor the quality of teaching and take reasonable organisational and technical measures to protect it.
The transferred data is
not used by us to make decisions producing legal or similarly significant effects concerning you without human involvement.
Children. Where a lesson participant is a minor, the lesson will be recorded and the recording transferred only where we have the consent of the child's parent or legal guardian.
Your choice. You (or, in the case of a minor, the child's legal guardian) may decline the recording of lessons and the transfer of those recordings to artificial-intelligence systems by contacting us at the email address in Section 1. Declining will not affect the educational services themselves, although some quality-control features may become unavailable.
5. Sharing your data with third parties
We take all reasonable measures to protect your personal data and do not share it with third parties except:
- with our employees, contractors and affiliates who need it to operate the website and Services and to provide the Services to you;
- where sharing is necessary to provide the Services (for example, processing payments through payment providers — note that card details are handled by the payment processor and are not received by us);
- with the artificial-intelligence providers described in Section 4;
- in response to a lawful request from a court, law-enforcement body or other competent authority, or where otherwise permitted by law;
- where you have given your explicit consent to the transfer.
We require any third party that processes personal data on our behalf to do so only on our instructions and to keep it secure.
6. International data transfersSome of our service providers, including the artificial-intelligence providers named in Section 4, are located outside the United Kingdom. Where we transfer your personal data outside the UK, we ensure an appropriate level of protection by relying on a transfer mechanism permitted under UK GDPR, such as:
- a UK "adequacy" determination for the destination country; or
- the International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses; or
- another lawful transfer mechanism.

7. Children's personal data
We take particular care with the personal data of children. Where the Services involve a minor, we collect and process the child's data — including lesson recordings and their transfer to artificial-intelligence providers — only with the consent of a parent or legal guardian, and only to the extent necessary. A parent or legal guardian may withdraw consent and exercise the child's data-protection rights at any time by contacting us.
8. How long we keep your data
We keep personal data only for as long as necessary to fulfil the purposes for which it was collected, including to satisfy any legal, accounting or reporting requirements. The retention period does
not exceed five (5) years after the end of our cooperation, unless a longer period is required by law.
Lesson recordings are kept only for as long as necessary to monitor the quality of teaching, after which they are deleted or anonymised, unless a longer period is required by law or agreed with you.
9. Your rightsUnder UK GDPR you have the right to:
- obtain information about the personal data we hold about you and receive a copy of it (access);
- have inaccurate or incomplete data corrected (rectification);
- have your data deleted in certain circumstances (erasure);
- restrict or object to processing in certain circumstances, including objecting to direct marketing at any time;
- receive certain data in a portable, machine-readable format (data portability);
- withdraw your consent at any time where we rely on it (this does not affect processing carried out before withdrawal);
- decline the recording of lessons and the transfer of such recordings to artificial-intelligence systems;
- lodge a complaint with the supervisory authority (see Section 12).
You can update much of your information yourself using the editing function in your account. You can also ask us to delete the personal data held under your account, although deleting your account may make some Services unavailable.
To exercise any of these rights, contact us using the details below. We will respond within the timeframe required by law (normally one month).
10. Data security
We take the organisational and technical measures necessary to protect personal data against unauthorised access, alteration, disclosure or destruction, including:
- the use of secure servers and data-transfer protocols;
- restricting access to personal data to those who need it to carry out their duties;
- security monitoring and updating of protective systems;
- transferring lesson recordings to artificial-intelligence providers over secure channels and only to the minimum extent necessary.

Our website uses cookies and similar technologies to operate the website, remember your preferences and analyse how the Services are used. You can manage cookies through your browser settings and, where applicable, through our cookie banner.
